Permits

Hot Work Permits

A hot work permit is required for any welding, soldering, brazing, grinding or other spark
generating work. Permit requests must be submitted a minimum of 24 hours in advance for all scheduled work. Emergency work/repairs must be coordinated at the time of the work with EHS fire safety group (FSG).

  • The length of the permit shall not exceed the limits described below:
    • Standard work -daily
    • Special circumstances-At the discretion of EHS; special circumstances can include building renovations, projects and other long term activities

Permits shall be available at the worksite throughout hot work activities.
EHS maintains a permit board for all active permits and coordinates activities from that source.

  • EHS may conduct site inspections based on the following criteria:
    • Random spot checks
    • Known hazard areas
    • Known Indoor Air Quality areas
    • Recent or past history of inability or unwillingness to follow proper permit protocols
    • Complaint
  • Upon completion of the hot work, return permit to EHS in person or through campus mail.

NOTE: If this work impacts any fire protection device, a separate “Impairment Permit” is also required.

Fire Protection Impairment

Permit requests must be submitted a minimum of 24 hours in advance for all scheduled work.

  • Emergency work/repairs must be coordinated at the time of the work with EHS fire safety group (FSG).
  • Coordinate with Facilities Management (Fire Alarm Shop) for impairing the fire system in the areas noted in the impairment permit.
  • The length of the permit shall not exceed the limits described below:
    • Standard work -Daily
    • Special circumstances-at the discretion of EHS
  • EHS will notify the appropriate Fire Department having jurisdiction and all impairments issued. All open permits are maintained on the EHS permit board.
  • EHS shall conduct site inspections based on the following criteria:
    • Random Spot Checks
    • Known hazard areas
    • Known Indoor Air Quality areas
    • Recent or past history of inability or unwillingness to follow proper permit protocols
    • Complaint

Upon work completion and reactivation of the system, EHS shall be immediately notified (777-2211) & permits returned to EHS (IN-101).

Confined Space Procedure

Permit requests must be submitted a minimum of 24 hours in advance for all scheduled work. Permits requested less than 24 hours in advance may cause a delay in your starting the work.

  • For all non-scheduled work, the permit must be faxed (777-4444) or delivered to EHS PRIOR to the start of work.
  • Special arrangements must be made IN ADVANCE for times other than 7am – 3pm, Mon-Fri. Contact EHS (777-2211)
  • No work can begin until the permit has an authorized EHS signature.
  • EHS will review and approve faxed permits. Requestors who fax permits must immediately call EHS (777-2211) to confirm approval.
  • EHS will send a Rave Alert to ERT with permit information.
  • Upon completion (no later than 3pm) of the confined space entry, EHS shall be immediately notified (777-2211) that work is complete and all workers have exited the space.

Tent Permit

Large outdoor gatherings that require a tent for shelter must first be approved by the Fire Safety Team at EH&S. Please fill out the forms below and submit them to EHS.

Drone Policy

Drones or quadcopters that meet certain criteria are not permitted on campus unless a permit has been issued. Questions about the permitting process can be directed to the Codes Compliance Coordinator, James Rea.
