Who is required to use E-Time?
All Research Foundation employees (with the exception of salaried graduate students and faculty collecting summer salary) are required to use E-Time for completing their timecards.

How do I complete my timecard?
Please review the guides and demonstrations linked at the top of this page for detailed instructions on how to access Employee Self-Service and complete timecards within E-Time.
For Non-Exempt Employees (Salaried and Hourly)
Times must be logged in HH:MM format, include AM or PM indicators, and be rounded to the nearest quarter hour increment (i.e., 08:00am or 12:30pm).
For any shifts where an employee is working more than six hours, an unpaid meal break of at least 30-minutes must be taken and this break in work must be reflected on their timecard.For Exempt Employees
Exempt employee timecards are completed as leave records. Employees are only required to record their time away from work during their normal work schedule on their timecards. One full day away from work is logged as 1, while partial days away from work are logged in quarter day increments (i.e., .25, .50, .75).
If no time away from work was taken during a given month, the blank timecard must still be submitted for our timekeeping records.

How often am I required to complete a timecard?
For Non-Exempt employees (both salaried and hourly), a timecard must be completed every two weeks following the end of a pay period (payday) recording time worked during that period.
For Exempt employees, a timecard must be completed at the end of each month logging all time away from work. If you did not take any time off in a given month a blank timecard would still need to be submitted and approved.

Why is it important to submit my timecards on time?
Late timecard submissions can result in employees being paid incorrectly, having inaccurate PTO accrual balances, and other issues.
For Hourly employees, timecards must be submitted and approved by their supervisor in time for our processing deadlines to be paid on the upcoming payday. Late timecards will not be processed for payment until the next pay cycle.

Who can temporarily approve my employee's timecards if I am unable to?
If a supervisor needs to temporarily route their employee's timecards to someone else (e.g. the primary supervisor will be unable to access Self-Service while on sabbatical, on vacation, or out of the country), they will have to set up a "vacation rule". This function in Supervisor Self- Service allows a temporary timecard approver to be designated by the primary supervisor for a specific period of time so that timecards are automatically routed there for approval.***Please be aware that this is only for short-term changes. This should not be used if an employee has a permanent supervisor change.***
Note:- This feature can only be enabled by accessing RF Supervisor Self-Service. If you will not have access to Self-Service at all after a certain date (e.g. you will be outside of the United States for a period of time, you will be on vacation), you must establish vacation rules before you no longer have access. RF HR cannot enable this feature on your behalf.
- The temporary supervisor will still need to have signature authority on file with RF Grants Management to approve timecards for employees. This authorization must be submitted to RF Grants Management before you set up the vacation rule. When will my Holiday PTO accrual populate?
Holiday PTO accruals do not populate until the date of the holiday. Once the holiday has arrived, the Holiday PTO accrual will be reflected within your PTO balances and available for use on your timecard.

What is the difference between being “paid current” and “paid on a delay (or lag)”?
Non-Exempt and Exempt salaried employees are paid on a current schedule. On payday, they are paid for their time worked in the two weeks leading up to the payday.
Hourly employees are paid on a delay (or lag) schedule. On payday, they are paid for their time worked in the two weeks leading up to the prior payday.
Reminder: Hourly employees must have their timecards submitted and approved by their supervisor in time for our processing deadlines to be paid on the upcoming payday. Late time timecards will not be processed for payment until the next pay cycle.
